Sending Files with the Outlook® Plug-in

The Outlook® plug-in provides two ways that you can send files through email. Before sending files, you should review the information about each option to determine the method that best fits your needs.

Note: Regardless of which method you choose, files sent using the Outlook® plug-in are encrypted at rest and in transit.

Sending Files with Share Safe

Share Safe is a feature that allows recipients to access files from a storage location on the Web. Files you share are automatically uploaded to this storage location when you send your email notifying the recipients of the files. Share Safe allows you to send files to anyone, not just entities included the CCH Axcess database.

You can share files stored in Document. You can also share files that are stored on your local computer. Up to 20 files with a total size of 1 GB can be sent at one time using Share Safe.

Notes: We do not recommended using email groups when sending with Share Safe.

See Sending a File Using Share Safe for more information.

Sending Files with 7Zip

When you share files using this method, the system packages the files in a ZIP file. This ZIP file is then inserted in the email you send to the customers. Recipients can download the ZIP file from the email, and then use 7-Zip, a free application, to extract the files. Recipients must enter a file access key that is sent in a second email before they can open the files.

One advantage of using this method of sending files is that your firm's sensitivity levelsClosed A category applied to a file that indicates the level of confidentiality required for the file. Your firm can limit which files can be sent as email attachments based on sensitivity levels. will be used to determine if files can be sent via email.

This method of sending files can be used with files stored in Document. It cannot be used with files that are stored elsewhere.
